Project Management Support
Sized to your workload
Get the billing, documentation, tracking, and follow-up off your desk—without hiring and training another full-time employee.
Your business may not need another 40-hour position.
But it does need someone who understands construction well enough to take ownership of the office work that keeps coming back to you.
I provide experienced, fractional support for contractors who need help organizing project information, moving documentation forward, preparing billing, tracking outstanding items, and creating processes their existing team can use.
1: Construction Project Backlog Rescue
The Construction Project Backlog Rescue is a fixed-scope engagement for contractors with billing, documentation, project tracking, or closeout work that has become difficult to untangle.
You don’t need to organize everything before bringing me in. We begin by identifying what is open, what is missing, and what is preventing the work from moving forward.
Depending on the agreed scope, your project may include:
Organizing active project information
Identifying missing documents and decisions
Preparing or coordinating billing documentation
Tracking change orders, RFIs, and submittals
Reconciling billed amounts against project costs
Cleaning up project files or closeout records
Following up through your authorized contacts
Building a practical tracker for the remaining work
You walk away with a clearer view of the backlog, completed priority work, and a more usable way to track what remains.
This is not an audit that leaves you with another list of things to do.
It is hands-on support designed to get the work moving again.
Fixed-scope projects start at $750.
2. Fractional Construction Project Support
Experienced project support without adding another full-time position.
Once the immediate backlog is under control, you may still need someone to maintain the process.
Fractional support gives you access to experienced construction administration and coordination for a defined set of responsibilities—without requiring you to create a full-time role or train someone from the ground up.
Ongoing support may include:
Billing and pay-application coordination
Billing backup and submission tracking
Change-order documentation and tracking
RFI and submittal logs
Project-document organization
Cost and billing reconciliation
Deadline, approval, and action-item tracking
Procurement and material coordination
Closeout documentation
Estimating and proposal support
Recurring project-status reporting
We define exactly what I own, what remains with your team, who can provide information or approvals, and how communication will work.
You stay informed without having to personally carry every administrative step.
Fractional engagements are priced according to the number of projects, assigned responsibilities, access requirements, and expected availability.
3. Construction Systems and Staff Training
Give your current people the structure they were never taught.
Sometimes the right person is already on your team.
You may have an organized office assistant who could become a strong project coordinator with the right construction-specific training. Or you may have experienced employees who understand their work but have never been given a consistent process for documenting and handing off information.
I can help you build the structure they need.
Systems and training projects may include:
Project-coordinator training
Billing and documentation workflows
Estimating-to-operations handoffs
Project setup and closeout procedures
Change-order, RFI, and submittal processes
Roles and responsibility clarification
SOPs, templates, checklists, and trackers
Training materials tailored to your company
Workflow implementation and follow-up
The goal is not to bury your team under more paperwork.
It is to create a process they can realistically follow—and reduce how often every question and unfinished task returns to you.

How It Works
You tell me what is late, disorganized, unfinished, or consuming too much of your time.
You don’t need to diagnose the entire business first.
1. Tell Me What’s Stuck
I review the situation and recommend a defined backlog project, ongoing fractional support, or a systems and training engagement.
We agree on the responsibilities, priorities, access, authorized contacts, communication process, timeline, and investment.
2. We Define the Work
Once the work begins, I organize the information, track the outstanding items, complete the agreed support work, and keep you informed.
I work within your existing chain of command. I do not contact field personnel, customers, general contractors, or other project stakeholders unless you specifically authorize it.
3. I Take Ownership of the Assigned Scope
Frequently Asked Questions
-
Start with a Construction Project Backlog Rescue if work has already piled up, you aren’t sure where the process is breaking, or you want to solve one immediate problem before committing to ongoing support.
Choose Fractional Construction Project Support when you already know which recurring responsibilities you need someone to own.
Choose Construction Systems and Staff Training when you have capable employees but need stronger workflows, documentation, or construction-specific training.
If you’re unsure, tell me what keeps returning to your desk. I’ll recommend the most appropriate starting point.
-
Every Backlog Rescue has a defined scope based on the work creating the most immediate pressure.
It may include:
Reviewing active project information
Identifying missing documents, decisions, or billing backup
Organizing project files and outstanding items
Preparing or coordinating agreed billing documentation
Updating change-order, RFI, or submittal logs
Reconciling billed amounts against project costs
Addressing closeout-documentation gaps
Building a tracker for the remaining work
Providing a clear summary of completed work and next steps
The engagement covers the specific projects, records, and deliverables listed in your proposal. It does not automatically include every unfinished item in the company.
Backlog Rescue projects start at $1,000.
-
Fractional support is priced as a monthly retainer based on:
The number and complexity of active projects
The responsibilities I will own
The expected volume of documents or transactions
Required meetings and reporting
Response-time expectations
The systems and access involved
Fractional engagements generally start at $750 per month. Your proposal will define the included scope, capacity, communication process, and monthly investment before work begins.
Monthly retainers are paid in advance.
-
A Backlog Rescue is a one-time engagement with no ongoing commitment.
Fractional support begins with an initial 90-day engagement. This provides enough time to learn your processes, organize the assigned work, establish a dependable rhythm, and determine whether the arrangement is producing the intended relief.
After the initial term, the engagement may continue according to the renewal and cancellation terms in your agreement.
-
That depends on the complexity, condition, and administrative demands of each project.
A contractor with several well-organized projects may require less support than a contractor with one large project involving extensive billing, changes, documentation, and follow-up.
Your proposal will state the number or category of projects included. Additional projects can be added only after we review the effect on capacity, priorities, and price.
Fractional support does not include unlimited projects or unlimited requests.
-
Yes. I can provide workflows, documentation, templates, and construction-specific training to help an existing administrative employee develop stronger project-coordination skills.
-
You don’t need to choose before contacting me.
Tell me what keeps returning to your desk, what is falling behind, and where the pressure is building. I’ll help determine the most appropriate place to begin.
-
Access depends on the work you hire me to perform.
I may need access to:
Relevant contracts and scopes
Project folders and existing documentation
Schedules of values and billing records
Change-order, RFI, and submittal information
Cost reports or estimating documents
Project-management or document-control software
A designated person who can provide information and approvals
Whenever possible, I use an individual, permission-controlled account rather than shared passwords. Access should be limited to what I need to perform the agreed work.
I will not contact field personnel, customers, general contractors, subcontractors, or other stakeholders unless you authorize that communication.
-
My experience includes:
Microsoft Excel, Word, Outlook, PowerPoint, Teams, and Project
Google Workspace
Bluebeam
Accubid
Monday
ClickUp
Primavera
SharePoint
Adobe Acrobat and construction-documentation workflows
I can also learn the systems your company already uses. If a platform requires specialized knowledge I do not have, I will tell you before accepting responsibility for that work.
I will not recommend changing software simply because another platform is more familiar to me.
-
No. I do not replace your bookkeeper, CPA, tax professional, or licensed accounting provider.
I support the construction and documentation side of billing, which may include:
Pay applications
Schedules of values
Billing backup
Progress and milestone documentation
Approval and submission tracking
Billed-versus-cost reconciliation
Coordination with your authorized accounting contact
Your accounting professional remains responsible for accounting records, financial reporting, taxes, and professional accounting advice.
-
If a request falls within the agreed scope and available capacity, I’ll add it to the existing priority list.
If it requires additional time, projects, responsibilities, access, or urgency, I’ll explain the effect before beginning the work. We can adjust the scope, amend the monthly retainer, or create a separate fixed-scope project.
You will not receive surprise charges for work you did not approve.
You Don’t Need Another Person Waiting for Instructions
You need someone who understands the work, recognizes what is missing, and can take ownership of a clearly defined part of the process.
Tell me what is stuck. We’ll determine what needs immediate attention and whether I’m the right person to help move it forward.
